SUMMARY:
This is a unique opportunity to serve as the front door to our organization, creating exceptional first impressions and supporting the daily rhythm of our corporate headquarters in Leawood, Kansas.
WHAT YOU'LL DO:
Exceptional Guest & Staff Experience Delivery
- Serves as the first point of contact for customers, vendors, and visitors, creating a warm, professional, and memorable first impression.
- Manages guest check-in and coordinates or escorts to appropriate destinations within the office.
- Partners with internal team members to ensure a seamless and welcoming visitor experience and a thriving, positive work environment.
Relationship Building
- Develops positive working relationships with leadership, team members, board members, customers, and community partners.
- Represents the organization with professionalism, discretion, and a high level of service.
Event & Meeting Coordination- Plans and executes a variety of on-site events, including meetings, board sessions, client gatherings, and employee events.
- Collaborates with leadership to maximize use of the corporate facility in support of the bank's mission and community presence.
- Manages logistics including scheduling, setup, vendor coordination, and post event follow-up.
Office Environment Maintenance- Ensures all common areas reflect a clean, organized, and professional appearance at all times.
- Manages inventory of refreshments, kitchen supplies, and office essentials.
- Coordinates with janitorial and facility partners to maintain high standards throughout the offices.
Administrative & Operational Support- Oversees mail and package processing (USPS, UPS, FedEx, courier services), including sorting, distribution, and tracking.
- Operates postage systems and maintains daily reporting.
- Supports a variety of administrative tasks such as document preparation, scanning, reporting, and communications.
- Processes/posts transactions accurately and according to policy and procedure.
- Maintains and distributes inventory of bank forms and office supplies.
- Assists with incoming calls as needed, ensuring inquires are handled promptly and professionally.
- Complies with all applicable banking laws and regulations, including, but not limited to, the Bank Secrecy Act, USA PATRIOT Act, and related anti-money laundering statutes, and federal consumer protection legislation and regulations.
- Performs other duties as needed.
WHAT YOU BRING:
Education & Experience
- 6 months to 2 years of experience in hospitality, event coordination, administrative support, or related experience.
- Associate degree or higher preferred, or equivalent combination of education and experience.
Skills & Attributes- Strong customer service mindset with a passion for creating exceptional experiences.
- Excellent communication and interpersonal skills.
- Highly organized with the ability to manage multiple priorities and projects.
- Self-starter who can work independently and with minimal supervision.
- Proficiency in Microsoft Office, particularly Outlook and calendar management.
Work Environment & Physical Requirements- Primarily sedentary work with occasional standing, walking, and light lifting (up to 10 lbs).
- Ability to navigate the office environment and respond in emergency situations.
- Regular use of standard office equipment and extended computer use as needed.
- Occasional extended hours or off-site support may be required.
